What is Smart Document Upload?
Smart Document Upload allows you to upload up to 250 documents at once from the Individuals page, rather than uploading files one by one or tagging them manually.
Once uploaded, Borderless AI automatically classifies each document type, extracts the relevant information, and matches each document to the right employee. For payslips, it also runs an automatic compliance check against the relevant Certificate of Sponsorship.
Supported document types
Certificates of Sponsorship, payslips, passports, right to work documents, recruitment documents, and employment contracts.
How to upload documents in bulk
Go to the Individuals page
Click Upload documents in the top right corner
Select up to 250 files to upload (pdf, png, jpg, jpeg)
Click Upload documents to begin
Wait while the AI processes and classifies your documents. This can take a few minutes for large batches.
At the Match step, review any documents that couldn't be matched automatically and assign them to the correct employee using the search dropdown. Any documents left unassigned at this step will be discarded from the batch.
At the Review step, check the matched documents and their confidence scores, then select and confirm the ones you wish to upload
You can run multiple uploads at the same time if needed.
Uploading one PDF that contains several documents
If your payroll system gives you every employee's payslip in a single PDF, you do not need to screenshot or crop each page before uploading. Upload the one file and Borderless splits it for you, then puts the pages into the same flow described above.
One page becomes one document. Every page of the PDF is treated as its own document, so a 40-page payslip report becomes 40 documents and counts as 40 against the 250 file limit.
Documents that run to more than one page are split too. If a single payslip covers two pages, you will get two separate documents rather than one two-page payslip.
Files that cannot be split are refused straight away. Password-protected PDFs, damaged files, PDFs with too many pages, and PDFs whose pages are individually very large are rejected with a reason, rather than failing part way through.
Payslip validation
After any batch that includes payslips, Borderless automatically runs a Payslip validation summary. It compares each payslip against the relevant Certificate of Sponsorship to check salary and hours compliance.
Results are shown per employee once the upload is complete. If no Certificate of Sponsorship is on file for an employee, the result will show No CoS match. The payslip is still uploaded successfully.
Employment contract rights check
When employment contracts are included in a bulk upload, Borderless automatically checks whether each contract contains evidence that the worker has been informed of their UK employment rights. This is a Home Office compliance requirement that applies to all sponsored workers.
Where evidence is detected in the contract, the section completes normally. Where it is not detected, affected contracts are surfaced at Step 6 of the bulk upload flow alongside other document issues. You can upload a supporting evidence document (such as a signed acknowledgement, written statement, or training record) and assign it to all affected contracts in a single action. If you already have a standard rights acknowledgement document on your account, the platform will offer to auto-assign it.
If you don't have your own document, you can pick the Borderless Employment Rights Handbook from the template picker and apply it to every affected contract in one action.
You can also resolve flagged contracts one at a time with the guided remediation flow. If you skip, the platform re-prompts 2 days later so nothing falls through the cracks. A guidance notice is also shown each time an employment contract is identified in the batch, reminding you of this requirement.

Go to Settings → Document Uploads to view the status of any upload
You can navigate away during a long upload and check progress here at any time

Documents that can't be matched to an employee and aren't manually assigned at the Match step will be discarded from the batch
